We have seen some organisations that have taken the open-office concept to the extreme. It is so open that anyone who walks into the office premises need not sign in to the visitorsâ book because there is no need to do so. All the person needs to do is to appear before the receptionist and ask to see so-and-so, and to wait at the waiting area for the so-and-so to appear.
On paper, this looks like a reasonable practice. But, in reality, there is only one receptionist on duty at any one time, and it is very easy for any stranger to bypass the receptionist and walk straight to any work desk (because all the doors are left open for the convenient movement of the internal staff). And it is a piece of cake for the stranger to just take out any confidential document that is left lying around on desks of employees who have stepped away for a moment.
As its first line of defence, the organisation should have a locked door between the reception/waiting area and the working area in its office. A âRestricted Accessâ or âOut of Boundsâ sign displayed on the locked door means that there is no âI didnât knowâ excuse if, somehow (such as tailgating an employee), a visitor is able to enter the main office area. And of course the sign gives employees all the justification they need for telling any visitor that they must not tailgate them.
